Back-to-School Forms, Deadlines,
and Other Information


Summer is a busy time at The Philadelphia School as we prepare to welcome you and your children to the 2018-19 school year. This webpage contains a schedule of important summer communications, as well as a heads-up about key dates related to the opening of the school year. New families, we realize that this is a lot of information, and we encourage you to contact Frances Hoover in our advancement office if you have any questions.  

Our hope is that you will check this page regularly to make sure that you have not missed important information, registration materials, and deadlines.  We will update this page often, adding details and new links.  Please let the school registrar, Terri O'Connor, know if you are not receiving emails.  

PLEASE NOTE: One very important form that we ask you to fill out as soon as possible is the Student Information Form, which will help teachers prepare to greet your child into their classrooms in September. The form is due by August 17.



Tuition Billing
If you have not received any communication regarding your tuition billing from Higher Education Services (HES), please contact Maisie Chan in the Finance Office as soon as possible (215-545-5323 x223) to avoid late fees.

Information about School District bus service and SEPTA passes (sent June 13)
This information was emailed to all rising 1st grade families and to new families with children entering grades 1 through 8.  If you missed the July 1 deadline, please contact Carol Lerner.

Information about the 8th Grade Spanish Trip to Cuba (sent June 23)
Information about the 8th grade trip to Cuba was emailed to 8th grade families.The information is accessible on the Parent Portal.  

 Welcome Letter to New Families (sent July 17)
This letter included the password to the Parent Portal. If you did not receive this email, please contact Katie Neff in the admission office. It also included an invitation to  TPS 101, a parent orientation gathering on August 16 from 5:30 to 6:30pm, followed by a Meet the Directors reception (6:30-7:30pm) with returning parents, our division directors, and our head of school.

My Backpack Log In
All new families received email notification of their log in and initial password from our data management system (Senior Systems). Here is Log-in Information for My Backpack, where you will find the TPS Online Directory and, later in the year, student-related information.  If you did not receive your login and password, contact registrar Terri O'Connor at [email protected].

Health Forms and Policies (sent July 23)
Families were sent an email with information about Magnus Health, the paperless platform that all TPS families must use to acquire, update, and submit required health forms, emergency contact information, and other related forms. The deadline is August 15. Your login is the same as the log in you received for My Backpack.   

Registration for Music Lessons, the After School Enrichment Program, & Middle School Extended Day (sent July 25) 
Registration is open for all after school activities EXCEPT Fall Clubs and Fall Interscholastic Sports. 

Invitation to the Meet the Directors reception following "TPS 101" (sent July 31) 
Returning TPS parents are invited to meet new parents on August 16 from 6:30 to 7:30pm at Meet the Directors, also an opportunity to spend some time with our division directors - Erin, Yves, and Tanya - and with our head of school, Lisa Sun.

Sign-up for 8th Grade "Intake" Meeting about high school application process (sent August 13)

Morning Orientation Schedule for Preschool and Kindergarten Students (sent week of August 14)
Preschool and kindergarten families will receive information about the September 5 morning orientation for their children; there will be two sessions.

Clubs Catalog (sent August 17)
The fall clubs catalog will be sent to all families.  Registration opens on August 24.

Class Lists, Updated Staffing Info, and Dismissal Forms (will be sent August 20)
It will include class/advisory lists and updated staffing information, as well as forms asking for student dismissal plans forms.(Student schedules will be distributed the first week or so of school.)

Registration open for Fall Clubs and Fall Middle School Interscholastic Sports (August 24)
Please note: Your child will not be able to play a fall sport (soccer, volleyball) unless the special middle school sports form (PIAA Sports Physical) has been submitted via Magnus Health.

Head of School Letter (sent August 27)
Families will receive a back-to-school letter via email from Lisa Sun, our head of school.

Progressive EDge Newsletter (to be sent August 31)
This is the first of our weekly newsletters, which highlight a few of the many happenings at TPS, often include a message from the head of school or division directors, and provide a link to the classroom weekly notes and the blog. It is our expectation that families will read the newsletter and the classroom notes written by the teachers each week.

Teacher Contacts (just prior to the start of school)
Families will be contacted by classroom teachers to set up early-in-the-year intake meetings.

(Please note that this list is not all-inclusive - it is just to help you plan for the first few days of the school year and to note some important meetings and events for parents and guardians.   • First day of school: full day for grades 1-8; partial day for preschool and kindergarten

  • 8:30-10am First-Day-of-School Parent Breakfast - hope you will stop by the Garage! 

  • Bus service for students in grades 1-6 who have registered for bus service

  • ASEP begins (grades 1-5)

  • Middle School Extended Day begins (grade 6-8)



  • First Day of School for all students - regular hours

  • ASEP begins for preschool and kindergarten



  • Music lessons begin

  • Middle School fall sports begin - students may not participate if the Middle School Athletic Medical form (PIAA sports physical)  and contract have not been submitted.


  • 8:15-9:15am Preschool and Kindergarten Parent Coffee (Garage)
  • 5:30-6:30pm Cuba Trip meeting for 8th grade parents (Garage)


  • Fall clubs begin for grades 1-8

  • 7-9pm High School Fair - TPS gym. We are expecting more than 15 independent and public schools to be present. Eighth grade students and their parents will have the opportunity to speak with high school admissions representatives and with some of our alums who are attending these schools. (7th grade families are welcome to attend.)

  • Back-to-School Night - grades 3-8
